Following these 10 steps should ensure you event or activity is a huge success!
Once you have decided on your activity choose a date and a venue.
Make sure your chosen date doesn’t clash with any big events like school holidays, major sporting events or other similar events that might affect it and give yourself plenty of preparation time to get things organised. When you choose your venue try and make sure that it is accessible for everyone you wish to be able to participate in your event eg. is it wheelchair/pushchair friendly?
Make a checklist of all the tasks you need to complete so that you can be sure everything will be done.
Think about the kind of help you need to run the event and if you have any friends, family or other contacts that could get involved. You will have a lot more fun working together on your project and other people’s different experience and skills will all contribute to having a fantastic event.
Draw up a budget with an overview of how much you hope to raise, and what your costs will be. Try not to spend more than 25% of your expected income. To keep your cost down think about contacting local shops, restaurants and pubs to ask if they can donate items, food or prizes. Send out invitations to all your friends, family and colleagues. Think about using Facebook to let people know about the event, and if you want even more people to join in, put up posters up in your local area. If you want to contact the local media get in touch with our media team for advice.
Collect donations from your guests. Ask your guests to complete a Gift Aid form (Word Doc – opens in new window) for all donations they make. This enables us to claim an extra 25% on every pound raised at no extra cost to you or the person making the donation. Have fun! Don’t forget to enjoy yourself on the day. The more fun you have, the more your guests will give!
